Your first steps in the Customer Portal

ℹ️ Before you start introducing the Customer Portal to your customers, we recommend that you define your settings for it as per the below.

In the Customer Portal section of the global settings in Luminovo you can tailor the portal to your needs.

General setup

Go to the settings and choose General in the Customer Portal section.

Workflow definition

Start by defining your workflows.

General - File upload

You can decide which steps are required for your customers to complete, which ones are optional, and which ones should not be shown at all.

  • Required: If a file that is required has not been uploaded, it prevents your customer from requesting a quotation.

  • Optional: If a file is marked as optional it can be uploaded, but a quotation can be requested even if no file(s) have been uploaded.

  • Don't show: If this option is ticked, the respective functionality will not be shown at all to your customers.

Order confirmation

Here you can define if and how your customers can confirm the order in the Customer Portal after they received the quotation from you. This includes selecting the right order size and lead time as well as confirming the order.

What ways do we offer to confirm an order?

  • Automatic: As soon as all required steps are fulfilled and there are no warnings your customer will be instantly able to proceed to the order confirmation.

  • Manual quotation upload: Your customer can proceed to the order confirmation once you uploaded a quotation document.

  • Don't show: The order confirmation is never shown to your customers.


Show part data warnings to customers

This setting controls whether your customers are allowed to edit manufacturing data when a part data warning is displayed.

Note: Warnings for missing or inconsistent part data required for manufacturing or calculation are shown to customers in both cases. This setting only controls the permission to edit.

  • When ticked:

    • Customers can see part data warnings.

    • Customers ARE allowed to edit the manufacturing data to resolve the warnings. Important: this part data change will affect the part information across all projects. The customer however is not allowed to create new packages (just edit information of existing ones).

  • When not ticked:

    • Customers can see part data warnings.

    • Customers ARE NOT allowed to edit the manufacturing data.

ℹ️ This setting is recommended if you activated the automatic order confirmation. Allowing customers to edit the data helps ensure that any inconsistencies are fixed and that the calculated prices are correct before they confirm their order.


Customer user signup

How can your customers get access to your Customer Portal?

Customer user signup via invite

The default way is that you send them an invite from the Customers tab.

They receive an invitation email and can easily register using the link from the email.

Customer user signup via self-service signup

The self-service signup allows customers to register by themselves to your portal. This is particularly relevant for new lead generation.

  • By checking the box Enable self signup your customers can register to your portal by accessing a link that can be embedded on your homepage for example.

    ➡️ If this setting is selected, a default contact person is required. This contact person is used for new customers.

  • Ticking the box Allow customer users to invite other users allows your customers to invite their colleagues to the Customer Portal without your intervention.


Customise your signup screen

You have the possibility to customise the signup screen according to your brand by adding a logo and choosing colours (Primary colour, Primary dark colour, Background colour).


Customise the logos in the navigation bar

You can add your custom logo to the navigation bar and to the browser tab in the section Images.

ℹ️ Please note: the logos should have the measurements 132px by 24px. If you have a different resolution, it is important to maintain the same ratio 1:5.5.


Set up an automatic (manufacturing) calculation

When your customers create a project, we automatically create sourcing scenarios for you based on the selected order sizes. Additionally, you can trigger the automatic generation of manufacturing scenarios and the overhead calculation by choosing default templates that should be used for the automatic creation.

ℹ️ Please note: If you activated the automatic order confirmation, you need to define manufacturing and calculation templates to allow us to calculate an instant price.


Customise the order confirmation page

ℹ️ Please note: this is only needed if the order confirmation is set to Manual quotation upload or Automatic in the workflow settings.

Default lead time

Set a standard lead time that is shown in the order confirmation screen for all order sizes. This is required for Sourcing and Manufacturing.

Shipping terms

You can enter some default shipping and payment terms, which are shown in the order confirmation. Additionally, you can create a link to your shipping and payment terms on an external website, such as your homepage.

Imprint and privacy

Here you can link your company's imprint, privacy statement, as well as the Terms and Conditions. These are accessible at any point to your customers in the settings on the top right of the Customer Portal and need to be accepted if they confirm an order.


Additional services

You can offer additional services to your customers.

To do so, go to the settings and choose Additional services in the Customer Portal section.

Here you can create additional services and assign names to them. The order shown here will reflect the order shown in the Customer Portal.


You can add a manufacturing template to each service so that the additional services are automatically included in your manufacturing costing.

When creating a project your customers can select the additional services they would like to add to their request.
